Henry C. Hall Middle School PTA EXECUTIVE BOARD MINUTES

Meeting of Tuesday, March 19, 2002
1:15pm • Hall Middle School

Board members present: Ann Arabian, Bob Cone, Kathy Grey, Jeannie Perry, Becky Reed, Barbara Solomon, Susy Vrouvas, Susan Wirta

Construction Update Presentation
Before the meeting was officially called to order, a representative from the Vanir Construction Company gave an update on construction. Sean Rapp is the project manager at both Hall and Neil Cummins. His job is to make sure the work gets done before school starts. He is involved in planning with the science lab, technology lab, and the library area. He went through the new plan for the school. A copy of this plan is attached to these minutes. The work should be done by August 20 on the computer lab, the library, the staff lounge and the administration. Much more parking will be available. The classrooms should be done before school starts, and the gym complex done by December 2002.

  1. PRESIDENT’S WELCOME
The meeting was called to order at 1:15pm.
  1. APPROVAL OF MINUTES
A motion was made by Barbara Solomon to approve the minutes from February 12, 2002. The motion was seconded by Susan Wirta. The minutes were approved as written.
  1. TREASURER’S REPORT — Ann Arabian (for Karen Deist)
Ann Arabian spoke for the treasurer. We are right on budget. Even with having TJ lunches on Tuesdays as well as Mondays, we’re still fine. Bob Cone suggests that we carry $6,000 over to next year for unforeseen expenses. See Bottom of treasurer’s report sheet. There is now $4,000 extra for the lunch program, another $6,000 would be great.
  1. PRESIDENT’S REPORT Ann Arabian
    Old Business
    1. Lunch Program
The orange container in front of the school is temporary. The PTA is using it for storage and a kitchen right now. We’re still deciding what we will serve on Wednesdays. Mondays and Tuesdays will be TJ’s.
    2. Nominating Committee —
All the executive positions are filled for next year. They will be Ann Arabian—president; Karen Deist—treasurer; Susy Vrouvas—secretary; Cynthia Peterson—auditor; Barbara Solomon—parliamentarian; Becky Reed—historian; Rebecca Sarokin & Claudia Gropper—6th grade vice presidents; Susan Wirta & Liz Krakow—7th grade vice presidents; Ann Morrison & Diana Putterman—8th grade vice presidents. Most of the other positions are also filled. There are still one or two to go.
    New Business
    1. Auditor’s Report (Susan Wirta) —
There were no discrepancies found. One check was found with one signature instead of two. Papers will be filed accordingly. A motion was made to approve the auditors’ report by Becky Reed. Seconded by Barbara Solomon.
    2. Discussion on Historian Position
Some new ideas were discussed for the historians duties by Becky. Technically the job is to figure out all the hours that volunteers put in for the national PTA. Becky thinks the historian job should go along with that of the school Bulletin editors. A proposal was made to adjust the bylaws to have the historian job connected to that of the school bulletin editors. Since the historian would still be keeping track of this information, it was decided, the bylaws did not need to be changed.
    3. Grade Level VP Reports —
      • 8th Grade: For 8th grade graduation, all the subcommittees are doing their jobs. There will be a BBQ in Piper Park following the Great America trip on May 10. We’re trying to decide if it should be just the 8th grade kids or a family picnic. Should we rent the tables at the park. We need $ for the BBQ, about $5/child. This will be covered by the PTA.
    4. Other PTA News —
      • There is a 7th and 8th grade dance on May 17.
      • May 9th will be the Teacher/Staff Appreciation luncheon.
      • Friday, May 31 there will be a PTA coffee to honor our volunteers here at Hall.
      • Tuesday, June 4th, there will be a luncheon honoring incoming and outgoing PTA board members.
  1. PRINCIPAL’S REPORT — Bob Cone
    • The foundation has donated 12 A’s tickets for March 30. If anyone is interested let me know.
    • We have discussed the tutoring program of 8th grade tutors for 6th graders at a previous meeting. Now some 7th graders are being trained as well.
    • Lindsey Blumenthal is having an English exchange student coming to stay with her family. During the summer, Lindsey will go to her home for three weeks in the summer in England.
    • The school board is planning on final budget cuts in about one week.
    • April 2 report cards will be sent home.
    • There will be no Larkspur Summer School Session due to construction. There is a transition program for those 8th graders that need it. If a student gets less than a C in a main class, then they qualify.
    • The 7th grade writing sample is coming up.
    • DARE graduation is Tuesday of next week.
    • Question: Any future for the Washington trip next year? Answer: No, unless some teacher decides to take it on like Ms. Boley did.
  1. TEACHER’S REPORT — None
