Henry C. Hall Middle School PTA EXECUTIVE BOARD MINUTES

Meeting of Tuesday, January 16, 2003
1:15pm • Hall Middle School

Board Members Present: Ann Arabian, Kathie Cummins, , Marilyn Dineen, Claudia Gropper, Nicole Kowalski, Liz Krakow, Trish Mihalek, Ann Morrison, Cynthia Peterson, Diana Putterman, Becky Reed, Rebecca Sarokin, Barbara Solomon, Susy Vrouvas, Susan Wirta, Sumon Vyas

Welcome:
The meeting was called to order at 1:20pm.

A call was made for any corrections to the minutes before approving them. A motion was made to approve the minutes of November 19, 2002 by Barbara Solomon. Kathie Cummins seconded this. The minutes were approved.

Hall Musical Theater Update: Becky Reed
We needed a technical director for the play. Cynde Denny has stepped up to help with this. We have no sound system yet. It would cost about $30,000 to get a complete installed system. Right now, we’re looking at a portable system which costs about $7,000. When we finally get a permanent system, we can use some of the components from the portable system for it. So far the PTA has funded $7,000 for the production. “Grease” will cost $4500 (directors, royalties, posters) + $5300(PTA’s share of the cost of the sound system) =$9800. After income from ticket sales, PTA funding will hopefully be only $1500.

A question was raised by Nicole Kowalski (a school board member), about looking into using Bond funds set aside for San Clemente on Neil Cummins and Hall Schools. Due to the budget situation in Sacramento, there is a very low chance of opening up San Clemente school, anytime soon. Some members said they felt this couldn’t be done without being sure of approval by the voters who passed the bond issue, especially those who live in East Corte Madera. We didn’t vote or come to a consensus on this.

Treasurer’s Report:
There is less income from the lunch program than was in the budget. There was $13,000 income in our budget and we actually made $6,000. We can change some numbers around in the budget however, since not all of the expected expenditures were used. We can reduce the budgets for health and safety, community service, parent education and the scholarship categories. So we have money from other categories to make up for the lunch program. We can also reduce the balance forward from $4,000 to $2,000 for next year. If we did this, we would have money to give towards the sound system. If the play makes money, which it should, then we can change it back to the $4,000 balance forward.

We can consider selling chocolate chip frozen cookie dough as a fundraiser. There is 45% profit in this.

A point was brought up by the parliamentarian that if we revise the budget by $500, we need to go to the general membership for approval. It was decided to call a general membership meeting next Tuesday, 1/29/03 at 3:00pm at Hall to ask to revise the budget as indicated above. The play would need this sound system by the end of February.

It was proposed by Becky Reed to take a vote among the board members for approval of funding for the sound system. Cynthia Peterson seconded this. This was unanimously passed.

A motion was made to approve a change in our annual budget from $34,000 to $29,000 by Barbara Solomon. Susy Vrouvas seconded it. This was also unanimously passed.

Old Business:

  • Lunch Program — Does any one want to head the cookie dough fundraiser?
  • Membership — 210 of the 296 families are PTA members this year. Also 14 staff have joined as well.
  • Health and Safety — the emergency phone tree is done. It should be out by the end of the week.
  • PE clothes — we need a volunteer to wash clothes every other Friday.

New Business:

  • 6th Grade V.P. — We will be making Valentine’s Day cards for senior citizens on Friday February 7th during 6th period, in the classroom. We need two parent volunteers in each class for this.
  • 7th Grade V.P. — We will have the Merry Old England Faire this spring. There is no set date yet. It’s usually sometime in May. Someone asked if there was a possibility of 7th and 8th graders doing it together, since last year’s 7th grade class didn’t get to have one due to construction. Mrs. Dineen felt that the 8th graders are very busy by spring. Maybe some could help if they wanted
  • 8th Grade V.P. — There will be a 7th/8th-grade dance on February 14th. We need chaperones for this.

Principal’s Report-
The transition has gone smoothly from Bob Cone to myself [Marilyn Dineen] taking over as principal.

On Wednesday, January 19th, there is a meeting at the Marin County Board of Education on school shelters.We need someone from our school to go to this meeting.

At Town Center, there is Celebrate the Arts Display. We have 8 pieces of art on display there by our students. We need volunteers to man the display.

Teachers’ Report:
We may need help with petitioning Sacramento against the Governor’s budget proposal.
