EXECUTIVE BOARD MEETING MINUTES

Meeting of Tuesday, November 15, 2005
1:15pm • Hall Middle School

1. Welcome:
President Rebecca Sarokin called the meeting to order at 1:15pm.

2. Minutes
    ⇒ MSP
 MSP to approve the minutes from the last Executive Board meeting of October 18, 2005.

3. Principal’s Report – Daniel Norbutas

  • Last Dance — DN thanked the chaperones (13 parents plus 3 staff members). Unfortunately only 58 students came. The student council voted not to have a spring dance. (The CM Rec Center has bigger, less well-chaperoned dances every other week which are open to 6th graders and students from other schools. It is felt that these dances have impacted the attendance at the Hall dances.)
  • Pick-up/drop off — the school is working with the City regarding where/how this should best occur next year.

4. Teacher-Representative Remarks - Elizabeth Pascuale

  • School Sweatshirt — likes the idea; it's good for school spirit. Having an "inventory" would make it easy for people to get them.

5. President’s Report – Rebecca Sarokin

  • Treasurer's Report/Budget Discussion
    1. Chalk Festival — lost $200 (projected $400 income), but it is not intended to be     a fundraiser.
    2. Musical Theater — will not make the $4000 projected income due to higher expenses (better sound system, pianist, royalty, paid lighting staff) this year.
    3. Membership — numbers are up ($4,700 actual, $4,500 projected)
    4. Snack Program — projected income of $12,000 for this semester. Robin Gaspar is serving on the Wellness Committee and will work with the snack program to enable it to continue next year. Mount Tam Racquet Club is interested in being a provider for us.
    5. Logowear — is not selling well and may lose money. Reasons may include not having completed prototypes of the products, not having an inventory, and already having a "Hall" product in the form of PE uniforms. Ideas & issues: sell it from the website, make one set of Hall logowear which will accommodate the needs of PE as well as school spirit, make it available for sale all year, beware over-inventory. The goal of logowear is to improve school spirit (fundraising is a bonus). Robin and Barbara will talk with the PE teachers and see if the product offerings can be simplified to meet the needs of both the PE and PTA.
    6. Outdoor Education — Rebecca has met with the NC PTA regarding outdoor ed costs and the gift-wrap fundraiser. They concluded that next year both the 5th graders (at Hall) and NC students will sell gift wrap. The proceeds will go to the Hall 5th grade outdoor ed program. Outdoor ed cost per student is about $250, including a parent contribution of $50-60. The gift-wrap sales do not wholly fund the program and in the past the PTA has contributed about $10,000. This may or may not be a problem for the Hall PTA next year, as our income will increase due to the increased participation in PTA membership and the lunch snack program as a result of the 5th grade’s move to Hall. Next year’s 5th grade may be 150 students. Rebecca proposed that that the parent contribution next year goes up to $75, with a letter explaining where the balance of the funding comes from, proposing that the parent cost go up in the future to pay a larger percentage of the fee and presenting an option for parents to pay the entire per-child fee. Next year’s deposit is due this spring. NC will pay it from their account this year, as it is already in their budget, and they have done the related fundraising. Scholarships would continue to be available from the PTA. 6th, 7th and 8th graders will continue to fundraise for middle school programs through the QSP magazine sales program.
  • Parent EdJeannie Perry is setting up an evening program in January, about Internet safety.
  • Student Representative — The District PTA was looking for a student representative.
  • Pumpkin Carving — went well, although it was windy. Pumpkins were small, organic ones.
  • Lost and Found — items need to be labeled!
